Event Security 101: Keeping Proms, Parties & Private Events Safe

Build your plan

1. Risk assessment
   Begin with a site walk. Map entry points, fire routes, licensed areas, blind spots, neighbouring properties, and any hazards. Note guest demographics, timing, transport, alcohol service, and nearby events. Record control measures and who is responsible for each.

2. Entry, ID and ticket checks
   Use managed lanes and a bag table away from the main doorway to prevent bottlenecks. Set a clear policy in pre-event communications: acceptable ID, ticket or guest list rules, and what is prohibited. SIA-licensed door supervisors manage ID verification, consent-based searches and positive, courteous greetings.
3. Bag policies and consent-based searches
   Searches in the UK are by consent. Publish the policy on tickets and email confirmations. Provide a voluntary search lane with same-gender searchers available. Refusals mean no entry. 4. Crowd management
   Create a simple flow: arrive, check-in, cloakroom, main room. Position stewards at choke points and near stages, bars and toilets. Use radios with agreed call signs and escalation paths. Door supervisors lead de-escalation, welfare checks and incident logs.
5. First-aid coverage
   Have an on-duty first-aider as a minimum, and for larger events consider a dedicated medical point and an on-call clinician or event medical team. Place an AED where venue policy allows. Log all treatments in an incident book.
6. Safeguarding and DBS checks
   For school proms or mixed-age events, use staff with appropriate Disclosure and Barring Service (DBS) checks and a named safeguarding lead. Brief all staff on pickup arrangements, intoxication protocols for under-18s, and how to escalate welfare concerns.
7. Alcohol management
   Agree rules with the venue and bar: Challenge 25, token systems, limits per purchase, and free water. Position security near bars and egress points. Intervene early, offer calm choices, and prioritise welfare. Keep an ejection log and ensure two staff manage any refusal or escort where possible.
8. Communications and coordination
   Hold a joint briefing with venue management, caterers, the DJ or AV team, and medical staff. Share a site map, timings, evacuation plan and radio channels. Keep a single control point and run hourly check-ins.
9. Safe dispersal and transport
   Stagger last songs and lights to reduce surges. Signpost taxi ranks and lifts. Keep a welfare area for students or guests awaiting pickup. Security should stay visible outside to discourage antisocial behaviour and guide guests safely off-site.

Indoor venues vs marquees and temporary structures

• Indoor venues: Secure external doors and fire exits, control lift and stair access, set clear smoking areas, and monitor CCTV where installed. Acoustic spill and neighbour disturbance are usually easier to control, but internal bottlenecks can grow; steward corridors and stairwells.

• Marquees and temporary venues: Plan for weather, ground conditions, and perimeter control. Use temporary fencing, lighting towers and matting.
